Part-Time Notion Implementation & Operations Manager About Beta Hat Beta Hat is a boutique market research and consulting firm specializing in the video game industry. We help leading publishers and developers make smarter business, product, and marketing decisions through custom research and strategic consulting. As our company grows, we're looking to centralize our internal operations and knowledge management within Notion, creating a single source of truth for our team. The Opportunity We're seeking an experienced Notion Implementation & Operations Manager to help design, build, and launch Notion as our company's operating system. This role will be responsible for organizing company knowledge, creating operational workflows, implementing business development tracking, and developing an employee portal that serves as our internal intranet. The ideal candidate has successfully built and managed Notion workspaces for small businesses, agencies, consultancies, or professional services firms and understands how to balance structure, usability, and long-term maintainability. What You'll Do Knowledge Management & Company Documentation Audit and organize existing internal documentation Design and implement a scalable company knowledge base Create standardized templates for recurring processes and documents Build searchable repositories for research methodologies, proposals, reports, project resources, and company information Establish documentation standards and governance processes Employee Portal & Intranet Design and build a centralized employee portal Organize company policies, benefits information, resources, announcements, and key contacts Create a clear navigation structure that makes information easy to find Improve visibility into company processes and operational resources CRM & Business Development Operations Design and implement a lead and opportunity tracking system Build sales pipeline management workflows Create dashboards and reporting views for business development activities Improve visibility into active opportunities and client relationships Project & Operational Workflows Evaluate existing workflows and determine which should be migrated into Notion Design project management and operational tracking systems Create executive dashboards and reporting views Identify opportunities to streamline internal processes Training & Adoption Train team members on effective use of the system Develop best practices and operating procedures Drive adoption across the organization Provide recommendations for long-term workspace maintenance Ideal Qualifications Required Extensive hands-on experience building and administering Notion workspaces Experience designing company-wide knowledge management systems Strong understanding of CRM, project management, and operational workflows Experience working with agencies, consultancies, professional services firms, or startups Excellent organizational and process design skills Strong written and verbal communication skills Preferred Experience migrating teams from Asana, Airtable, Monday.com, ClickUp, or similar platforms Experience with Notion automations and integrations Familiarity with consulting or research organizations Change management and training experience Success Looks Like By the end of the engagement, we would expect to have: A clearly organized Notion workspace architecture A company knowledge base and internal intranet A centralized employee portal A functional CRM and sales pipeline system Operational workflows and project tracking systems Standardized templates and documentation structures Team training and adoption guidelines Recommendations for long-term governance and maintenance Engagement Details Part-time contract role Approximately 10-20 hours per week Initial engagement of 2-4 months Fully remote Potential for ongoing advisory or administration support To Apply Please include the following in your proposal: A brief overview of your experience with Notion implementations Examples, screenshots, or case studies of Notion workspaces you have personally built A description of the most complex Notion implementation you've led Your approach to designing a company operating system within Notion Any experience migrating organizations from Asana or similar platforms Your hourly rate and availability Screening Questions Describe a Notion implementation you've led for a company with fewer than 50 employees.
